Out of Office Message

“Out of Office” Notifications can be set up by CCIQ users with Admin privileges. This notification will appear to patients during the out of office hours on the web and CCIQ Mobile App versions 8 and higher.

Step 1. Admin staff member logs into CCIQ and navigates to their “Admin Settings” via their name on the upper right hand side:

Step 2. Navigate to “Customize Pages” and click on “Out of Office Warning”:

Step 3. Create a customized message in the “MarkDown” box for patients to see during the “Out of Office” hours. This message can be customized to your practice needs. There is also a link to a help page for MarkDown formatting to include bolded or italicized verbiage. Then click “Update”:

Step 4. Set the schedule you would like this message to appear using the “Edit Schedule” button:

  • CCIQ supports several built-in templates – such as Basic Weekend/Week evening slots, Daily slots, Holiday slots, or Custom Slots (ex if practice is always closed Friday afternoon):

  • Time entered bust be in MILITARY TIMES

  • End time is the time you want your out of office notice to NOT be shown

  • Start time is the time you want your out of office notice to BEGIN to be shown

  • Clicking “All Day” box enables the out of office notice for the entire 24 hour day period

  • Several templates can be combined to capture normal business hours and holidays or special dates the office is closed:


Example Out of Office Warning Set Up

EXAMPLE: Practice out of office schedule for weekday evenings between 5:30pm and 8:00am and during weekends by using the “Add Basic” template. The end time of the message is at 8:00 and the start time to show the message is 17:30. Week End messages are “All Day”:

When a patient attempts to send a message when the Out of Office Warming is ON – they will be prompted to confirm they saw the message before they can send a communication using ChronicCareIQ:


This confirmation of acknowledging the patient is aware the care team is out of office is also documented in the Patient Audit Log for staff records:
